Questions to Ask HVAC Technician

Questions for a homeowner to ask while the technician is still at the house: what they found and measured, whether a repair can wait, how warranty and pricing work, and when replacement starts to make more sense than another repair.

  1. What did you find, and can you show me the part or the reading?

    Why ask it

    A tech who can point at a swollen capacitor, a burnt contactor, or a number on a meter has diagnosed something. A verbal summary with nothing to look at is often a guess or a script.

  2. Is that what I called you about, or is it something separate?

    Why ask it

    Service visits often turn up an unrelated fault, and the original complaint quietly goes unsolved. Making them connect the finding to your symptom prevents paying for a repair that changes nothing.

  3. What caused it?

    Why ask it

    Parts rarely fail on their own. A capacitor that failed twice, a contactor that welded shut, or a compressor pulling high amps usually points to a plugged coil, low airflow, or a voltage problem that will kill the new part too.

  4. Does this need fixing today, or can it wait until the off season?

    Why ask it

    Some faults are safety or damage issues, and some are comfort issues that will cost less in April. Asking directly separates the two, and a tech who says everything is urgent is telling you something about the shop.

  5. What numbers did you take while you were here?

    Why ask it

    A real service visit produces readings: temperature split across the coil, static pressure, superheat and subcooling, amp draw against the rated load. If there are no numbers, nothing was actually tested.

  6. How old is this equipment, and where did you get the date?

    Why ask it

    The manufacture date is encoded in the serial number on the nameplate, so this is a checkable fact rather than an estimate. Age drives every repair or replace decision that follows, and an installer sticker is not the same as the build date.

  7. Did you check the condensate drain, the pan, and the float switch?

    Why ask it

    A plugged drain on an attic or closet air handler is how a minor problem becomes a ceiling repair. It takes two minutes to check and is one of the most commonly skipped items on a maintenance visit.

  8. If it is low on refrigerant, did you find the leak, or are you just adding gas?

    Why ask it

    A sealed system does not consume refrigerant, so low charge means a leak somewhere. Topping off without a leak search buys you one season and vents the refrigerant again, which is also a regulatory problem for them.

  9. Which refrigerant does this system use, and what does it cost to add now?

    Why ask it

    Older systems use refrigerants that are being phased down, and the price per pound has climbed accordingly. That single fact often decides whether a leaking older unit is worth keeping.

  10. On the furnace, did you run a combustion test and check for carbon monoxide? What were the readings?

    Why ask it

    Combustion analysis and a CO reading are the only way to evaluate a gas appliance properly. If the tech found a cracked heat exchanger or elevated CO, expect a shutdown, and treat that as a safety finding rather than a sales tactic.

  11. Is the part covered by the manufacturer warranty, and did you check by serial number?

    Why ask it

    Many systems carry five or ten year parts coverage that survives a change of owner, and it is easy to check from the serial number. Homeowners regularly pay full price for a part the manufacturer would have supplied free.

  12. Is this priced flat rate or hourly, and what is included in the number you just gave me?

    Why ask it

    Flat rate pricing bundles labor, part, and margin into one figure, so ask whether the diagnostic fee is credited and whether a return visit is extra. Getting that clear now avoids an invoice argument later.

  13. Is the replacement part the manufacturer's, or a universal equivalent?

    Why ask it

    Universal parts are often fine and sometimes better stocked, but they can affect warranty coverage on the rest of the system. You want to know which one you are paying for.

  14. If I do this repair, what is most likely to fail next on this system?

    Why ask it

    An honest tech will name the next weak point, often the other capacitor, the blower motor, or the evaporator coil. Two answers in the thousand dollar range change the repair decision you are about to make.

  15. At what point would you stop repairing this unit?

    Why ask it

    You are asking for their threshold rather than a sales pitch. Useful answers reference the repair cost against replacement, the refrigerant type, and whether the compressor or coil is involved.

  16. What filter should I use, how often should I change it, and would a higher MERV rating restrict airflow here?

    Why ask it

    A thick pleated filter in a slot designed for a one inch filter can raise static pressure enough to hurt performance. The right answer depends on your filter cabinet, which is why it is worth asking the person standing in front of it.

  17. What can I do myself between visits without causing damage?

    Why ask it

    Rinsing the outdoor coil, keeping plants clear of the condenser, and flushing the drain line are within reach for most homeowners. A tech who says do not touch anything is either protecting a plan sale or has met too many people with a pressure washer.

  18. Is anything about the way this was installed limiting what you can do now?

    Why ask it

    Undersized returns, a crushed flex duct, no service clearance, or a mismatched coil constrain every repair after. Naming it explains recurring problems that look like equipment faults but are not.

  19. What does your maintenance plan actually cover, and what is excluded?

    Why ask it

    Ask whether it includes two visits, a discount on parts, priority scheduling, and whether the diagnostic fee is waived. Plans that cover only a filter change and a visual look are worth less than the sticker suggests.

  20. Will I get a written report with the readings, and is the repair guaranteed for a set period?

    Why ask it

    Written numbers give you a baseline for the next visit and a record if the same fault returns. A stated labor guarantee, commonly measured in months, tells you whether they expect their own work to hold.

Getting a straight answer on a service call

Practical guidance for the conversation itself

Before they arrive

  • Write down when the problem happens: at startup, after an hour, only on hot afternoons, only overnight. Intermittent faults are diagnosed from your description more than from the equipment.
  • Note the thermostat setting, the temperature the house actually reaches, and the outdoor temperature when it struggles. Those three numbers narrow the search considerably.
  • Find the model and serial number on the nameplate and photograph it. It saves time and lets warranty be checked on the spot.
  • Clear access to the indoor unit, the filter slot, and the outdoor condenser. Time spent moving boxes is billed at the same rate as diagnosis.
  • Do not change the filter or hose the coil right before the visit. You would be removing the evidence.

While the work is happening

Ask for the diagnosis before the quote

A price with no explanation is impossible to evaluate. Ask what failed, what caused it, and what was measured, and only then discuss the number.

Ask to see it

Most techs are glad to show you a reading on the meter or the failed component. The request is normal, and how they respond to it tells you a good deal about the shop.

Ask what happens if you decline

For each recommendation, ask what the consequence of waiting is. Answers should differ: a failing capacitor is not the same risk as a cracked heat exchanger, and a tech who treats them identically is selling.

Repair or replace

  • Get the repair cost and a rough replacement cost in the same conversation, then decide with both numbers in front of you rather than from a rule of thumb.
  • Compressor and evaporator coil failures are the expensive ones. A blower capacitor or a contactor on an older unit is usually worth fixing regardless of age.
  • Factor in refrigerant. On a system using a phased-down refrigerant, every future leak repair gets more expensive.
  • If a replacement is recommended, treat it as a separate project with its own bids rather than a decision to make while the house is at 85 degrees.
  • Do not sign financing during an emergency call. A temporary fix or space heaters for a few days costs less than the wrong system for fifteen years.

What to take seriously and what to question

  • Take seriously: a red tag or shutdown on gas equipment, elevated carbon monoxide readings, scorched wiring, and a breaker that trips repeatedly.
  • Question: a recommendation to replace based only on age, with no readings and no failed component.
  • Question: refrigerant added without any leak search, especially on a system that was topped off last year too.
  • Question: an ultraviolet light, a chemical treatment, or an add-on sold before your original complaint has been explained.
  • Question: a price that changes when you mention getting a second opinion.
